Privacy policy
What we collect, why, and what we never do with it. Last updated 10th Aug 2026.
Who we are
VisibilityTool.ai measures how brands appear in the answers of AI assistants. This policy covers the visibilitytool.ai website and application. Questions and requests: support@visibilitytool.ai.
What we collect
Account data. Your email address and a password (stored only as a strong one-way hash). We record the IP address used at signup and at each login, and account activity timestamps, to prevent abuse of the free plan.
Product data. The projects you configure: brand names, competitor names, domains, tracked prompts, topics and markets. This is data about brands, not about people, but it is your data and is private to your account.
Collected answers. The AI assistant answers we collect for your prompts are recordings of a public tool's output. They are not personal data and do not identify you; pooled prompts tracked by more than one customer share the same underlying answers.
Usage analytics. We run a self-hosted, cookie-free analytics instance that records page views in aggregate. It does not profile you, does not follow you to other sites, and is not shared with advertising companies.
Cookies
We set a session cookie to keep you signed in and a small marker cookie so the site header knows you have an account. Both are strictly functional. We set no advertising or cross-site tracking cookies.
Services we rely on
A small number of processors help us run the product, each receiving only what its job requires:
SendGrid sends our transactional email (verification links, weekly digests), so it processes your email address. Google reCAPTCHA protects our signup and login forms from bots; on those pages Google receives standard request data under its own privacy policy and terms. DataForSEO executes the AI-assistant queries; it receives prompt text, never your identity. OpenAI classifies collected answers (mentions, tone); it receives answer text and brand names, never your identity. Keywords Everywhere provides search volume estimates; it receives topic demand keywords only.
What we never do
We do not sell your data. We do not share your project configuration with anyone. We do not run advertising trackers. Our public demo pages cover demo industries chosen by us; customer projects never appear on them.
Retention and deletion
You can delete any project yourself from its settings page, which removes its configuration and your account's link to its data. To delete your whole account, email support@visibilitytool.ai from your account address and we will remove it. Abuse-prevention records (signup and login IPs) are kept only as long as they are useful for that purpose.
Security
Passwords are hashed, traffic is encrypted in transit, datastores are not exposed to the internet, and access is limited to what operating the service requires. No system is perfectly secure; if we ever discover a breach affecting your data we will tell you.
Your rights
You can ask us what data we hold about you, ask us to correct it, or ask us to delete it, at any time, by emailing support@visibilitytool.ai. We answer every request.
Changes
If this policy changes materially we will update this page and note the new date at the top. Significant changes affecting account holders are announced by email.
